NOTE

Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified. If an external candidate is selected, his/her appointment will be subject to a passing grade on the relevant entry-level examination at the duty station. The candidate is responsible for any travel expenses incurred in order to take the examination at the duty station and to take up the assignment.

Description of Duties:

The United Nations Environmental Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. UNEP’s Division of Technology, Industry and Economics (DTIE) works with international and non-governmental organizations, national and local governments, business and industry to develop and implement policies, strategies and practices that are cleaner and safer, incorporate environmental costs, use natural resources efficiently, reduce pollution and risks for humans and the environment, and enable the implementation of conventions and international agreements. This post is located in the UNEP/DTIE, International Environmental Technology Centre (IETC) in Shiga, Japan. Under the direct supervision of Programme Officers of IETC, the incumbent provides daily support and assistance as follows:

  1. Programme/project related work:
    1. Provide overall logistical support to the project coordination;
    2. Monitor the status of project activities and take follow-up actions;
    3. Monitor project expenditures and maintain up-to-date records of project funds;
    4. Maintain up-to-date project files and identify relevant information to be included in the project web page;
    5. Maintain inventory list for the projects;
    6. Acts as administrative focal point in relation with IETC project counterparts;
    7. Handle MoU/LoA, SSA, Purchase Requests and other legal instruments for the projects for further processing;
    8. Raise pre-encumbrance documents
  2. Procurement related work:
    1. Maintains office stationery/supply
  3. Travel related work:
    1. Prepare Travel Requests/Authorizations;
    2. Arrange entry visa, air tickets and travel advance for official mission
  4. Secretarial work:
    1. Draft and/or edit correspondence in English and/or in Japanese;
    2. Receive phone calls/visitors and arrange appointments;
    3. Arrange/dispatch incoming/outgoing mail for the Office;
    4. Back-up the Deputy Director’s Office as requested
  5. Other duties requested by the office.

Requirement:

  • Secondary school or higher education.
  • Three years of administrative and/or programme/project-related experience is required. Working experience within the UN is desirable.
  • Working knowledge of English and Japanese.
  • Familiarity with MS Word, Excel, Lotus Notes, and Internet Explorer.

Salary:

Japanese Yen 7,564,000 gross per annum, rising subject to satisfactory service in accordance with the schedule of increments set out in the Staff Regulations and Staff Rules.
