NOTE

Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified. If an external candidate is selected, his/her appointment will be subject to a passing grade on the relevant entry-level examination at the duty station. Description of Duties:

The United Nations Environmental Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. UNEP’s Division of Technology, Industry and Economics (DTIE) works with international and non-governmental organizations, national and local governments, business and industry to develop and implement policies, strategies and practices that are cleaner and safer, incorporate environmental costs, use natural resources efficiently, reduce pollution and risks for humans and the environment, and enable the implementation of conventions and international agreements. This post is located in the UNEP/DTIE, International Environmental Technology Centre (IETC) in Osaka, Japan. Under the direct supervision of Administrative/Fund Management Officer of IETC the incumbent will perform the following tasks:

Assists the Administrative/Fund Management Officer in the following duties:

  1. Finance related work:
    1. Prepare payment vouchers for the settlement of IETC invoices;
    2. Responsible for petty cash management for the office.
  2. Procurement related work:
    1. Procure office supplies, procurement and hiring of equipment including preparation of Purchase Order.
  3. Personnel related work:
    1. Prepare SSA form for further processing by UNEP Headquarters;
    2. Keep leave and attendance records of all staff.
  4. Travel related work:
    1. Prepare Travel Authorizations;
    2. Arrange entry visa, air tickets and travel advance for official mission;
    3. Process travel claims.
  5. Secretarial work:
    1. Maintain filing system for all administrative work;
    2. Type, draft and edit correspondence in English and/or in Japanese;
    3. Receive phone calls and arrange appointments for the Administrative/Fund Management Officer;
    4. Provide logistic arrangements for IETC meetings and training courses;
    5. Arrange dispatch of all mail from IETC.
  6. Other duties as per the request of the office.

Requirement:

  • Secondary school or higher education.
  • Three years of administrative/personnel experience is required. Working experience within the UN is desirable.
  • Working knowledge of English and Japanese.
  • Familiarity with MS Word, Excel, Lotus Notes, and Internet Explorer.

Salary:

Japanese Yen 7,564,000 gross per annum, rising subject to satisfactory service in accordance with the schedule of increments set out in the Staff Regulations and Staff Rules.
